Policy Department / File 01

Privacy without the mystery folder.

This page explains the kinds of information a bookkeeping website may collect, why it may be used, and the choices visitors may have.

Last updated: August 2026

Quick Summary / Human Version

Collect what you need. Protect what you collect.

General Principle

A small-business website may receive information when someone submits a form, sends an email, calls the business, or interacts with website technology.

That information should be used for legitimate business purposes and handled with reasonable care.

01

Information Collected

What may enter the file.

Depending on how the website is configured, the business may receive information that visitors voluntarily provide.

Examples may include:

  • Name
  • Business name
  • Email address
  • Telephone number
  • Industry or business type
  • Bookkeeping needs or service interests
  • Information included in a message or inquiry
Important Ordinary contact forms should not be used to send highly sensitive financial information.
02

Use Of Information

Why the information may be used.

Information collected through a business website may be used to operate the website, respond to inquiries, provide requested services, maintain records, and support ordinary business administration.

Purpose A Respond To Inquiries
Purpose B Evaluate Service Requests
Purpose C Operate The Website
Purpose D Maintain Business Records

The actual purposes should be described accurately based on how the final website and business operate.

Privacy Department / Office Rule

Sensitive data deserves more than a contact form.

Please Do Not Email Your Password
03

Contact Forms

What happens when someone hits send.

If the website includes a contact or inquiry form, information entered into that form may be transmitted to the business or to a third-party form-processing service selected by the website owner.

Visitors should avoid submitting passwords, full bank account numbers, Social Security numbers, tax identification numbers, or similarly sensitive information through an ordinary website form unless an appropriate secure process has been established.

Digital Intake / Handle With Care

Hitting send is where our responsibility starts.

Website inquiries still contain real information. They should be reviewed carefully, routed sensibly, and handled with the same discretion as any other client communication.

Intake Status Received. Reviewed. Not forwarded to everybody.

Cookies & Website Technology

Browsers remember things too.

Websites may use cookies, local storage, analytics, embedded content, security tools, or similar technologies depending on the services installed by the website owner.

These technologies may support functions such as remembering preferences, measuring website activity, preventing abuse, or improving performance.

05

Service Providers

Sometimes another company handles part of the plumbing.

A website owner may use third-party providers for hosting, email, analytics, appointment scheduling, form processing, security, cloud storage, payment processing, or other operational needs.

Those providers may process information as necessary to perform their services and may have their own privacy terms and security practices.

Data Retention

Files should not live forever just because nobody deleted them.

Information may be retained for as long as reasonably necessary for the purposes for which it was collected, to maintain appropriate business records, resolve disputes, comply with obligations, or protect the business and its users.

Specific retention periods should reflect the final business practices and applicable requirements.

Records Handling / Quietly Important

Privacy is mostly boring procedures done correctly.

Organized records, appropriate access, careful storage, and sensible handling practices matter considerably more than dramatic security graphics.

Records Policy Keep what is needed. Protect what is kept.

Security

Reasonable precautions. No magic force field.

Website owners should use reasonable administrative, technical, and organizational safeguards appropriate to the information they handle.

No website, storage system, email service, or method of internet transmission can guarantee absolute security.

Visitor Choices

People may have rights regarding their information.

Depending on location and applicable law, individuals may have rights or choices concerning personal information held about them.

These may include requesting access, correction, deletion, or information about how personal information is used.

The final website owner should describe the rights that apply to its visitors and provide an appropriate method for submitting requests.
